Cancellation Policy

Scheduling a Party/Event: We are so happy that you have decided to celebrate with us! In order to give our special guest the best possible experience, our gym is closed to members and the public during your birthday party or event. We ask for a non-refundable deposit of $100 to reserve your time slot at the time of booking. The remaining payment is due 48 hours prior to the event date. 1. Cancellation by Client: At Sensory Seekers, we understand that sometimes plans change. Our goal is to provide the best possible experience for our guests, while also maintaining fair policies for both parties. Please take a moment to review our cancellation policy: Less than 14 days notice: If you cancel your event within 14 days of the scheduled party, you will be responsible for an additional $75 fee to be paid by the card on file. Please remember that you can reschedule your event. See the rescheduling section below for more details. No-Show or Cancellation within 48 hours: If you fail to attend or cancel the event within 48 hours of the scheduled time, you will be responsible for the full amount of the event to be paid by the card on file. 2. Rescheduling: More than 14 Days Notice: If you need to reschedule your event more than 14 days prior to the scheduled date, you may reschedule for another available date at no extra cost, subject to availability. Your original deposit will transfer to the new date. New date must be within 90 days of the canceled date. Less than 14 Days Notice: Rescheduling requests made within 14 days of the event will be subject to a $45 fee for the administrative cost and any price difference for the new date. 3. Cancellation by Sensory Seekers: In the rare event that Sensory Seekers must cancel or reschedule your event due to unforeseen circumstances (e.g., illness, emergencies, etc.), you will be notified as soon as possible, and you will be offered either: A full refund, or The option to reschedule for another available date. 4. Exceptions: In special cases, such as a medical emergency or extreme weather conditions, we may offer additional flexibility on a case-by-case basis. Please contact us as soon as possible to discuss any extenuating circumstances. 5. Communication: All cancellations and rescheduling requests must be made in writing via email to help@sensoryseekers.org, and the effective cancellation date will be the date the email is received. By booking a birthday party event with us, you agree to the terms outlined in this policy
